Refund & Cancellation Policy

Effective Date: 18 July 2026
Brand: Xtasify
Legal Entity: AhaLok® Technologies Private Limited
Website: https://xtasify.com

1. Introduction

Xtasify is the brand name of the Training and Education Division of AhaLok® Technologies Private Limited.

At Xtasify, we value clarity, fairness, commitment, and mutual respect. This Refund & Cancellation Policy explains the terms applicable when a participant, learner, client, parent, guardian, organisation, or purchaser cancels a registration, programme, consultation, course, membership, or other service purchased from Xtasify.

In this Policy, “Xtasify,” “AhaLok®,” “we,” “us,” and “our” refer to AhaLok® Technologies Private Limited operating through the Xtasify brand.

By registering for, purchasing, booking, or accessing an Xtasify programme or service, you acknowledge that you have read and agreed to this Policy.

2. Scope of This Policy

This Policy applies to payments made for:

  • Live online or offline workshops;
  • Webinars, seminars, retreats, and events;
  • Short-term and long-term training programmes;
  • Individual consultations and guidance sessions;
  • Group consultations and mentoring programmes;
  • Coaching or transformation programmes;
  • Recorded courses and digital learning products;
  • Memberships, communities, and subscription-based programmes;
  • Assessments, reports, or personalised educational services;
  • Institutional and corporate training programmes; and
  • Any other paid service offered under the Xtasify brand.

A programme-specific registration page, proposal, agreement, invoice, or offer may contain additional or different cancellation terms. Where clearly disclosed before payment, those programme-specific terms will apply to that purchase.

Nothing in this Policy limits any rights or remedies that cannot legally be excluded under applicable consumer-protection law.

3. General Principles

Xtasify programmes require advance planning, trainer preparation, scheduling, platform arrangements, administrative work, content development, resource allocation, and, in some cases, restriction of available seats.

Accordingly:

  1. Refunds are not automatic and are subject to review under this Policy.
  2. Refund eligibility depends on the nature of the service, the cancellation date, and whether access or delivery has already begun.
  3. Payment-gateway charges, taxes that cannot be recovered, administrative costs, materials already supplied, and services already delivered may be deducted from an approved refund.
  4. Refunds will ordinarily be issued through the original payment method.
  5. Refund and cancellation requests must be submitted in writing.
  6. Failure to attend, participate in, or complete a programme does not by itself create a right to a refund.

4. Live Workshops, Webinars and Group Programmes

This section applies to scheduled live programmes conducted online or offline.

A. Cancellation Seven or More Days Before the Programme

Where a cancellation request is received at least seven calendar days before the programme’s scheduled starting date, the participant may be eligible for a refund of up to 50% of the programme fee.

The remaining amount may be retained against:

  • Administrative processing;
  • Seat reservation;
  • Trainer and facilitator allocation;
  • Payment-gateway charges;
  • Programme planning; and
  • Materials or resources already prepared or provided.

Instead of a refund, Xtasify may offer transfer to another available batch or issue a programme credit, where practical.

B. Cancellation Within Seven Days

No refund will ordinarily be available where cancellation is requested fewer than seven calendar days before the programme begins.

Subject to availability and the nature of the programme, Xtasify may permit:

  • Transfer to a future batch;
  • Transfer of the registration to another eligible participant; or
  • Issuance of a limited-validity programme credit.

Any such accommodation is discretionary and is not guaranteed.

C. Cancellation After Programme Commencement

No refund will be provided after:

  • The programme has commenced;
  • The participant has attended any live session;
  • Login or programme access has been activated;
  • Recordings or learning materials have been shared;
  • A private community or participant group has been joined; or
  • Any substantial part of the programme has been delivered.

A participant who misses one or more sessions may access recordings or another available batch only where this facility forms part of the programme or is approved by Xtasify.

5. Low-Cost, Promotional and Introductory Programmes

Registration fees for low-cost, promotional, introductory, trial, awareness, or special-offer programmes may be expressly identified as non-refundable.

This may include nominally priced programmes intended to:

  • Confirm participant commitment;
  • Reserve limited seats;
  • Cover platform or administrative expenses;
  • Reduce casual registrations and no-shows; or
  • Provide access at a specially reduced price.

Where a registration page or payment page states that the registration fee is non-refundable, no refund will be issued after payment except in cases of:

  • Duplicate payment;
  • Payment collected but registration not confirmed due to a technical error;
  • Cancellation of the programme by Xtasify without a suitable alternative; or
  • Any other circumstance in which a refund is required by applicable law.

6. Individual Consultations and Private Sessions

This section applies to one-to-one consultations, mentoring, educational guidance, astrology-based educational consultations, Vastu guidance, mind-wellness sessions, and similar private appointments.

A. Confirmed Appointments

Once a consultation slot has been confirmed, the payment is ordinarily non-refundable because the scheduled time is reserved exclusively for the participant.

B. Rescheduling by the Participant

A participant may request one rescheduling, provided that:

  • The request is submitted at least 24 hours before the scheduled appointment;
  • The new appointment is taken within the validity period communicated at booking; and
  • A suitable alternative slot is available.

Additional rescheduling requests may attract an administrative fee or may be declined.

C. Late Cancellation

Cancellations made fewer than 24 hours before the appointment are treated as late cancellations and are not eligible for refund.

Xtasify may permit rescheduling in exceptional circumstances, but is not obligated to do so.

D. No-Show

A participant who does not attend within the communicated joining or grace period, and who has not provided advance notice, will be treated as a no-show.

No refund or complimentary rescheduling will be provided for a no-show.

E. Delayed Arrival

Where a participant joins late, the session may still end at its originally scheduled time. The session fee will not be reduced or refunded because of the participant’s delayed arrival.

7. Coaching, Mentoring and Multi-Session Packages

This section applies to programmes involving multiple sessions, extended mentorship, private coaching, group coaching, or phased learning.

A. Before the Programme Begins

Cancellation eligibility before commencement will be determined according to the programme-specific offer or agreement.

Where no separate terms have been stated, a request received at least seven calendar days before commencement may qualify for a refund of up to 50% of the amount paid.

B. After Commencement

Once the first session has been conducted, onboarding has been completed, personalised preparation has begun, or programme resources have been provided, the package becomes non-refundable.

C. Unused Sessions

Unused sessions are not automatically refundable.

Sessions must be completed within the validity period specified at the time of enrolment. Any session remaining unused after the validity period may lapse unless an extension is approved in writing.

D. Instalment Plans

An instalment arrangement is a payment facility and not a pay-per-session arrangement.

Withdrawal from the programme does not automatically cancel outstanding instalments that relate to a programme, package, or commitment already purchased, unless otherwise agreed in writing or required by law.

8. Recorded Courses and Digital Products

Recorded courses, downloadable resources, workbooks, audio programmes, videos, reports, templates, digital guides, and other electronically delivered materials are generally non-refundable once:

  • Login credentials have been issued;
  • The course account has been activated;
  • A download link has been supplied;
  • Any material has been accessed or downloaded; or
  • Digital delivery has otherwise been completed.

A refund or replacement may be considered where:

  • The purchaser was charged more than once for the same product;
  • The purchased product was not delivered;
  • The supplied file is technically unusable and cannot be replaced;
  • The purchaser received a materially different product from the one ordered; or
  • Access cannot be restored within a reasonable period after the issue is reported.

A participant’s failure to use or complete a digital course does not qualify for a refund.

9. Memberships and Subscriptions

Where Xtasify offers recurring memberships or subscription-based services:

  1. Cancellation will ordinarily stop future renewals.
  2. Cancellation must be requested before the next billing date.
  3. Amounts already charged are not ordinarily refundable or prorated.
  4. Access may continue until the end of the paid subscription period.
  5. Failure to use the membership does not qualify for a refund.
  6. Free trials may automatically convert into paid subscriptions where this is clearly disclosed during registration.

Participants are responsible for cancelling before renewal where they do not wish to continue.

10. Institutional and Corporate Programmes

Refund and cancellation terms for schools, colleges, universities, businesses, associations, and other organisations will be governed primarily by the signed proposal, purchase order, work order, memorandum, contract, or written confirmation.

Unless otherwise agreed:

  • Booking or mobilisation advances are non-refundable;
  • Completed preparation and delivered sessions are fully chargeable;
  • Cancellation charges may apply according to the notice period;
  • Travel, venue, accommodation, material, or third-party expenses already incurred will be recoverable; and
  • Rescheduling will depend on trainer availability and reimbursement of additional expenses.

11. Programme Transfer

Subject to programme eligibility and approval, Xtasify may allow a participant to transfer a registration:

  • To another available batch; or
  • To another person nominated by the original participant.

A transfer request must ordinarily be submitted before the programme begins.

A transferred registration:

  • Cannot subsequently be refunded;
  • May be subject to price differences;
  • Must satisfy programme eligibility requirements; and
  • May attract an administrative charge.

Programme transfers are discretionary and may not be available for personalised services, completed onboarding, digital products, or programmes with restricted admission criteria.

12. Complimentary and Bonus Services

No cash value, refund, adjustment, or replacement is available for:

  • Complimentary sessions;
  • Bonus workshops;
  • Free resources;
  • Promotional gifts;
  • Additional recordings;
  • Community access supplied without separate payment; or
  • Services provided as part of a limited promotional offer.

Withdrawal or non-use of a complimentary benefit does not alter the price of the principal programme.

13. Discounts, Coupons and Price Changes

Refunds or credits will not be issued merely because:

  • A programme is later offered at a lower price;
  • A new coupon, promotion, or scholarship becomes available;
  • Another participant received a different promotional price;
  • The participant failed to apply a coupon before payment; or
  • The participant purchased before a later promotional campaign.

Approved refunds will be calculated on the amount actually paid, not on the programme’s listed or future price.

14. Non-Attendance and Incomplete Participation

No refund will be available where a participant:

  • Does not attend a session;
  • Joins late or leaves early;
  • Fails to complete exercises or assignments;
  • Does not watch supplied recordings;
  • Does not access the course platform;
  • Does not participate in the community;
  • Experiences scheduling conflicts after registration; or
  • Voluntarily discontinues the programme.

The participant is responsible for reviewing the programme schedule, language, delivery format, technical requirements, eligibility conditions, and time commitment before registration.

15. Participant Conduct and Removal

Xtasify may suspend or remove a participant who:

  • Disrupts sessions or community spaces;
  • Harasses trainers, staff, or other participants;
  • Shares another participant’s private information;
  • Records or distributes sessions without permission;
  • Shares login credentials or paid materials;
  • Engages in abusive, unlawful, fraudulent, or unethical conduct;
  • Violates intellectual-property rights; or
  • Breaches programme rules or terms.

A participant removed for misconduct will not ordinarily be eligible for a refund.

This provision will be applied reasonably and will not affect any non-excludable statutory rights.

16. Cancellation or Rescheduling by Xtasify

Xtasify may occasionally cancel, postpone, reschedule, modify, or relocate a programme because of:

  • Trainer illness or unavailability;
  • Insufficient enrolment;
  • Technical or platform failure;
  • Venue unavailability;
  • Safety concerns;
  • Government restrictions;
  • Operational difficulties; or
  • Circumstances beyond reasonable control.

Where Xtasify cancels an entire paid programme and cannot provide a reasonable alternative, participants may choose between:

  • Transfer to another batch;
  • Programme credit; or
  • Refund of the amount paid for the cancelled programme.

Where only a particular session is cancelled, Xtasify may:

  • Reschedule the session;
  • Provide an alternative trainer;
  • Supply a recording or replacement session; or
  • Provide another reasonable method of completing the relevant content.

A change of trainer, session order, platform, venue, or reasonable schedule adjustment does not automatically entitle a participant to a full refund.

17. Partial Delivery

Where a programme is discontinued by Xtasify after partial delivery and no reasonable continuation or replacement can be provided, any refund will ordinarily be calculated in relation to the undelivered portion.

The calculation may account for:

  • Sessions already delivered;
  • Digital materials already supplied;
  • Consultations already conducted;
  • Administrative and payment-processing expenses; and
  • Other benefits already received.

18. Force Majeure

Xtasify will not be liable for delay, interruption, postponement, or inability to deliver services caused by events beyond its reasonable control, including:

  • Natural disasters;
  • Flood, fire, epidemic, or pandemic;
  • War, civil disturbance, or terrorism;
  • Government orders or restrictions;
  • Internet, electricity, or platform failures;
  • Strikes or transport disruption;
  • Venue closure;
  • Serious illness or emergency; or
  • Failure of third-party service providers.

In such circumstances, Xtasify will make reasonable efforts to reschedule the programme, provide an alternative mode of delivery, extend access, or issue a programme credit.

Refund decisions will depend on the nature of the event, costs already incurred, the portion already delivered, and applicable law.

19. Technical Issues

Participants are responsible for maintaining:

  • A suitable device;
  • A stable internet connection;
  • Required applications or software;
  • Functional audio and video equipment; and
  • Access to the registered email address or telephone number.

No refund will ordinarily be provided for technical problems arising from the participant’s device, connectivity, software, settings, or failure to follow joining instructions.

Where a substantial technical failure originates from Xtasify or its chosen platform and prevents delivery, we may offer:

  • A replacement session;
  • Extended access;
  • A recording;
  • Transfer to another batch;
  • Programme credit; or
  • An appropriate refund where the service cannot reasonably be supplied.

20. Duplicate and Failed Payments

Where the same transaction has been successfully charged more than once, the verified duplicate amount will be refunded.

Where an amount is debited but the transaction is shown as failed or incomplete:

  1. The participant should first check whether the bank or payment provider automatically reverses the transaction.
  2. The participant may submit the transaction reference and payment proof to Xtasify.
  3. We will verify whether the payment was received by us.
  4. Where received without a corresponding confirmed registration, we will either confirm the registration or initiate a refund.

Bank or payment-gateway processing times are outside Xtasify’s direct control.

21. Outcomes and Personal Results

Xtasify provides educational, training, awareness, mentoring, and personal-development services.

Results vary according to factors including:

  • Participation;
  • Practice and consistency;
  • Personal circumstances;
  • Prior knowledge;
  • Effort and implementation;
  • Physical and emotional condition; and
  • Factors outside Xtasify’s control.

Dissatisfaction arising solely because a participant did not achieve a desired personal, professional, financial, relationship, wellness, spiritual, or other outcome does not create an automatic right to a refund.

This provision does not apply where the service supplied was materially deficient, misrepresented, or not delivered in accordance with applicable law.

22. How to Request a Cancellation or Refund

All requests must be submitted in writing to:

Email: namaste@ahalok.com
Subject: Xtasify Refund or Cancellation Request

The request should include:

  • Participant’s full name;
  • Registered email address;
  • Registered telephone number;
  • Programme or service name;
  • Date of payment;
  • Transaction reference number;
  • Amount paid;
  • Reason for cancellation or refund request; and
  • Supporting documents, where relevant.

The date on which the complete written request is received will be treated as the cancellation-request date.

Requests made only through telephone calls, verbal conversations, trainers, community messages, or social-media comments may not be treated as formal refund requests.

23. Review and Approval

Refund requests will be reviewed according to:

  • This Policy;
  • Programme-specific terms;
  • Date of request;
  • Services already delivered;
  • Materials or access already provided;
  • Costs already incurred;
  • Payment records; and
  • Applicable legal requirements.

Submission of a request does not guarantee approval.

Xtasify may request additional information necessary to verify the payment, purchaser, participant, or grounds of the request.

24. Refund Processing Time

Approved refunds will ordinarily be initiated within 10–15 working days after approval.

The actual time taken for the refunded amount to appear may vary depending on:

  • The bank;
  • Card issuer;
  • UPI provider;
  • Payment gateway; or
  • Original payment method.

Refunds will ordinarily be made only to the original payment source. Cash refunds or transfers to unrelated third-party accounts will not normally be permitted.

Written confirmation may be provided after the refund has been initiated.

25. Taxes and Payment Charges

Where legally or operationally applicable, an approved refund may exclude:

  • Payment-gateway charges;
  • Banking charges;
  • Administrative fees;
  • Non-recoverable taxes;
  • Foreign-exchange differences;
  • International transaction charges; and
  • Costs already incurred in delivering the service.

Any deduction will be determined reasonably and in accordance with applicable law.

26. Chargebacks and Payment Disputes

Participants are requested to contact Xtasify before initiating a bank, card, UPI, or payment-gateway dispute.

Fraudulent, misleading, or unjustified chargebacks may result in:

  • Suspension of access;
  • Cancellation of programme benefits;
  • Recovery of chargeback costs;
  • Restriction from future registrations; or
  • Other lawful action.

This clause does not prevent a participant from exercising legitimate rights available through a bank, payment provider, consumer forum, or applicable law.

27. Grievances and Dispute Resolution

Participants are encouraged to first submit any refund-related grievance through written communication so that the matter can be reviewed and resolved amicably.

For grievances, contact:

AhaLok® Technologies Private Limited
Operating Brand: Xtasify
Email: namaste@ahalok.com
Website: https://xtasify.com
Business Hours: Monday to Friday, 9:00 AM to 5:00 PM IST

We will make reasonable efforts to examine and respond to the grievance within the period required under applicable law.

If a dispute cannot be resolved amicably, it will be governed by the laws of India. Subject to the rights and jurisdiction available to consumers under applicable law, other disputes will be subject to the competent courts in Madhya Pradesh.

28. Changes to This Policy

Xtasify may revise this Refund & Cancellation Policy to reflect changes in:

  • Programme formats;
  • Service offerings;
  • Payment arrangements;
  • Business practices;
  • Technology;
  • Operational requirements; or
  • Applicable laws.

The revised Policy will be published on this page with an updated effective date.

The policy applicable to a transaction will ordinarily be the version disclosed or available at the time of purchase, unless a later change is required by law or is more favourable to the participant.

29. Our Commitment

At Xtasify, we recognise that every registration represents trust and an intention to learn, grow, and participate.

Our refund and cancellation terms are designed to balance:

  • The participant’s legitimate interests;
  • The preparation and resources committed by Xtasify;
  • The time reserved by trainers and facilitators;
  • Fair treatment of all participants; and
  • The long-term integrity of the learning environment.

We are committed to reviewing genuine concerns fairly, respectfully, and transparently.
